Patients Intake is a small paid-acquisition team. We build and run the ads, the landing pages, and the follow-up automation that turn local demand into booked appointments — and we put a monthly number on it before we take your money.

We work in three categories: child day care, ABA therapy, and rehab centres. Not because the list is exhaustive, but because each one has a different buyer, a different sales cycle, and a different set of advertising rules.   • The number is agreed in writing first
    Before a single ad runs, we set a monthly target based on your capacity, your market, and your budget. It goes in the agreement. No vague promises about “more leads”.
  • Ninety days to prove it
    The guarantee runs over the first three months, which is how long it takes to test creative, cut waste, and reach a stable cost per booking.
  • Miss the number, get the fee back
    If we do not hit the agreed target, we refund our management fee for the months we missed. You keep the ad account, the landing pages, the automations, and every lead we did generate.
  • What we need from you
    Maintain the agreed ad budget, respond to leads within one business hour (our automation covers the first reply), keep the capacity you told us about, and give us account access. If those slip, the guarantee pauses — and we will tell you the moment it does.

One thing we will not pretend: the refund covers our management fee, not your ad spend. Money paid to Meta and Google buys impressions and cannot be recovered from them. Anyone promising otherwise is refunding from their own pocket or leaving that part out.

How does the guarantee actually work?

We agree a monthly number in writing before launch — booked tours, started intakes, or qualified admissions enquiries depending on your category. It runs over the first ninety days. If we miss it, we refund our management fee for the months we missed, and you keep the ad account, pages, automations, and every lead produced along the way.

How is the pricing structured?

A flat monthly management fee, plus your advertising budget paid directly to Meta and Google. We do not take a percentage of ad spend, so we have no incentive to push your budget up. We will give you the exact figure on the strategy call, once we know your capacity and the market you are in, because quoting a number before that would be guesswork.

Does “you don't pay” include the ad spend?

No, and we would rather be blunt about that than have you find out later. The refund covers our management fee. Ad spend goes directly to Meta and Google, it buys the impressions either way, and we cannot claw it back from them. Any agency telling you otherwise is either refunding out of its own pocket or not telling you the whole thing.

What stops you from setting an easy target?

Nothing except that it would be obvious. The number is built from your capacity and your budget on the strategy call, and you have to agree it is worth paying for before you sign. If the number we propose does not move your business, say so and we will not take the account.

What if we cannot handle the volume?

Then we set a lower number. A guarantee that floods a centre you cannot staff is worse than no guarantee. Capacity is the first thing we ask about, and for day care and ABA it is usually the binding constraint rather than demand.

Why only three categories?

The performance guarantee

Where we advertise a guarantee, these are its terms. A specific monthly target is agreed with each client in writing before any campaign launches, based on that client's capacity, market, and agreed advertising budget. The guarantee period is the first ninety days of service.

If the agreed target is not met, we refund our management fee for the months in which it was missed. The refund covers our management fee only. Advertising spend is paid by the client directly to the advertising platforms, is consumed in delivering impressions, and is not recoverable by us or refundable by us.

The guarantee is conditional on the client maintaining the agreed advertising budget, responding to enquiries within the agreed timeframe, maintaining the service capacity represented to us, providing and maintaining access to the necessary advertising and business accounts, and holding any certification or licence required to advertise in their category. Where a platform requires category certification before ads may run, the guarantee does not begin until that certification is in place. If a condition is not met, the guarantee is suspended for the affected period and we will notify the client in writing.

Limits on what we can promise

Beyond the specific guarantee described above, marketing outcomes depend on factors outside our control, including your market, offers, pricing, clinical capacity, staffing levels, funding and authorisation timelines, reputation, budget, and platform policies. Cost per lead, lead volume, and campaign figures shown on this site are historical results from specific health and service campaigns we have run. They are not a promise or projection of similar results for any other client, and they are not presented as child day care, ABA, or admissions results.

Limitation of liability
